DearFutures (“we,” “us,” or “our”) operates the DearFutures web application (the “Service”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service to send postcards and letters scheduled for future delivery via email.

By using DearFutures, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2.1 Personal Information You Provide

When you use DearFutures, we collect:

• Sender information: Your name and email address.
• Recipient information: The recipient’s name and email address.
• Message content: The text of your letter or postcard, and any uploaded files (text documents, images).
• Scheduling details: Your chosen delivery date, postcard template, and sending location.

2.2 Automatically Collected Information

When you access the Service, we may automatically collect device information, browser type, IP address, and usage data (pages visited, time spent) through standard web server logs and analytics tools.

3. How We Use Your Information

We use the information we collect to:

• Store and deliver your postcards and letters on the scheduled date via email.
• Send you a confirmation when your postcard is scheduled and when it is delivered.
• Generate postmark visuals using your chosen location and date.
• Improve and maintain the Service.
• Respond to your inquiries and provide customer support.
• Comply with legal obligations.

We do not use your message content for advertising, marketing, or any purpose other than delivering it to the intended recipient.

4. Data Storage and Retention

Your postcard content, sender information, and recipient information are stored securely on encrypted servers until the scheduled delivery date. After successful delivery, we retain a record of the transaction (excluding message content) for up to 90 days for support purposes, after which it is permanently deleted.

Uploaded files are stored temporarily and deleted within 7 days of successful delivery.

5. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We may share information only in the following circumstances:

• Service providers: We use trusted third-party services for email delivery (e.g., SendGrid, Resend). These providers receive only the minimum information necessary to deliver your postcard.
• Legal requirements: We may disclose information if required by law, court order, or governmental regulation.
• Safety: We may disclose information to protect the rights, property, or safety of DearFutures, our users, or the public.

6. Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS/SSL) and at rest (AES-256). However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your data (note: scheduled postcards that have not yet been delivered cannot be cancelled or deleted — see our Terms of Service).
• Object to or restrict processing of your data.
